Theodore Ellison Designs is a nationally-renowned custom mosaic and leaded glass studio with more than 26 years of experience working collaboratively with homeowners, architects and designers to deliver one-of-a-kind pieces.

Our small and mighty fast-paced studio juggles multiple projects at a time, including everything from a homeowner’s kitchen windows to a hotel’s architectural glass installation. No matter the size, our crew gives each project individual attention at every stage of the fabrication process. 

We are looking for a new front office team member to roll up their sleeves and dive into working with our collaborative and experienced team!

Position Overview

We’re seeking a Client Relations Manager to serve as the primary interface for all client communications and drive strategic business initiatives. This role combines comprehensive client relationship management with team coordination and business development in a creative studio environment.

Our growing business requires this position to have exceptional people skills with the ability to manage multiple client relationships, a professional demeanor and strong stress resilience. 

We are looking for someone that displays strategic thinking and attention to operational details, as well as a growth mindset and initiative to drive new business ventures. 

Core Responsibilities

Client Relationship Management

  • Manage all client communications from initial inquiry through project completion
  • Create client folders, gather project information, and coordinate estimates
  • Schedule studio visits, design meetings, and installations
  • Handle contract signatures and client onboarding
  • Follow up on estimates and maintain client satisfaction
  • Drive the implementation of a comprehensive CRM system
  • Coordinate shipping logistics and site visit scheduling

Team Operations & HR

  • Coordinate crew scheduling, availability tracking, and installations
  • Manage payroll validation, PTO tracking, and employee relations
  • Handle HR documentation, benefits administration (401K, HRA), and compliance
  • Facilitate team meetings and coordinate crew outings
  • Develop comprehensive HR systems and policies

Administrative Coordination

  • Support day to day business operations
  • Manage executive calendar and appointment scheduling
  • Organize booking and online logistics for 4-6 classes per year
  • Manage business insurance and workers comp audits
  • Maintain business licenses and city taxes
  • Launch and manage new e-commerce initiative

Required Qualifications

  • 3+ years client relationship management or business development experience
  • Strong organizational and project coordination skills
  • Excellent communication and interpersonal abilities
  • Experience with CRM systems, HR functions, and team coordination
  • Proficiency with e-commerce platforms and digital marketing
  • Full-time availability required for in-person work at our East Oakland studio
